Definition of Harassment
Harassment encompasses a range of behaviors that create an intimidating, hostile, or offensive

This Code of Conduct outlines the expectations for all participants—teachers, trainees, and
students—to ensure a safe, kind, and respectful environment for everyone.
Core Principles
1. Mutual Respect: All participants are expected to treat one another with dignity, kindness,
and empathy, fostering an atmosphere where everyone feels valued and supported.
2. Integrity: Honesty and authenticity in communication and actions are essential. We
encourage participants to engage with sincerity and to honor their commitments to the
community.
3. Personal Accountability: Each individual is responsible for their behavior and its impact
on others. This includes reflecting on one’s actions and making amends when necessary.
4. Safety and Consent: Physical, emotional, and psychological safety is paramount. All
interactions, including physical touch, must be based on clear verbal consent.
5. Curiosity and Growth: We encourage open-mindedness, curiosity, and a willingness to
learn from one another in a non-judgmental way.
Expectations for Behavior
To maintain a positive and inclusive environment, all participants agree to:
• Engage in Honest Communication: Share thoughts and feedback respectfully and
constructively, avoiding gossip, assumptions, or harmful speculation about others.
• Foster a Supportive Learning Environment: Contribute to a space where everyone
feels safe to explore, ask questions, and grow in their yoga practice and teaching.
• Respect Boundaries: Always seek verbal consent before initiating physical contact, such
as adjustments during yoga practice, and honor the preferences of others.• Stay Within Scope of Practice: Teachers and trainees must operate within the limits of
their training and credentials. For example, offering therapeutic, psychological, or
spiritual advice is not permitted unless the individual is professionally qualified in those
fields.
• Embody Presence in Teaching: Focus on teaching yoga from a place of embodied
presence, emphasizing mindfulness and physical practice rather than positioning oneself
as a therapist, healer, or authority figure beyond one’s training.
Prohibited Behaviors
To ensure a safe and welcoming environment, the following behaviors are strictly prohibited:
• Disruptive Behavior: Actions or speech that interrupt the learning environment, such as
excessive talking, disregarding instructions, or dominating discussions.
• Discrimination: Any form of discrimination based on race, ethnicity, gender, sexual
orientation, religion, age, disability, or any other protected characteristic.
• Aggression or Harassment: Verbal, physical, or emotional aggression, including
bullying, intimidation, or harassment of any kind.
• Gossip or Manipulation: Spreading rumors, engaging in manipulative behavior, or
attempting to undermine others.
• Non-Consensual Touch: Any physical contact without clear, verbal consent from the
recipient.
• Diminishing Others: Actions or words that belittle, shame, or diminish the dignity of
another person.
Consequences of Violating the Code of Conduct
Violations of this Code of Conduct may result in actions determined by Lynden Yoga Collective
leadership, which could include:
• A verbal or written warning.
• Temporary suspension from participation in classes, workshops, or training programs.
• Permanent removal from the program or community, depending on the severity of the
violation.
All reports of misconduct will be handled with confidentiality, fairness, and care, prioritizing the
safety and well-being of the community

Lynden Yoga Collective teacher, program coordinator, or designated staff member. We are

Anti-Retaliation Policy
At Lynden Yoga Collective, we are committed to fostering a safe, inclusive, and supportive
environment for all students, staff, and faculty. Every individual has the right to raise concerns,
file complaints, or express discomfort without fear of punishment, exclusion, or negative
consequences. Retaliation in any form against someone who speaks up about an issue is strictly
prohibited and will result in a thorough and formal investigation by the program leadership.
Definition of Retaliation
Retaliation includes any adverse action, whether overt or subtle, that negatively impacts an
individual for voicing concerns or participating in a complaint process. Examples include, but
are not limited to:
• Overt retaliation: Disciplinary actions, exclusion from activities, or denial of
opportunities.
• Subtle retaliation: Gossip, ostracism, emotional withdrawal, passive-aggressive
behavior, or diminished participation opportunities by faculty, staff, or peers.
Speaking up about discomfort, misconduct, or ethical concerns should never lead to a diminished
learning experience, strained interpersonal relationships, or any form of penalty. We are
dedicated to ensuring that all voices are heard and respected.
Reporting Retaliation
If a student, staff member, or faculty believes they are experiencing retaliation, they are strongly
encouraged to report the situation promptly to the program director. Reports can be submitted in
writing via email or through a confidential meeting. All reports will be handled with:
• Fairness: Ensuring an impartial review of the situation.
• Discretion: Maintaining confidentiality to protect all parties involved.
• Timely Follow-Through: Addressing concerns promptly to restore a safe and respectful
environment.
The program director will initiate an investigation within five business days of receiving the
report. The investigation may include interviews with relevant parties, review of documentation,
and consultation with leadership. Outcomes may range from mediation to disciplinary action,
depending on the severity of the retaliation.

Grievance Policy
Lynden Yoga Collective is committed to creating a supportive and transparent environment
where feedback is welcomed, and conflicts are resolved with care, respect, and accountability.
Our grievance policy outlines a clear process for addressing concerns that arise during the
training program, ensuring all parties feel heard and supported.
Steps for Addressing a Grievance
If you encounter an issue during the training that feels unresolved, harmful, or contrary to our
community values, we encourage you to follow these steps:
1. Direct Communication (When Appropriate)
If safe and appropriate, initiate a respectful and clear conversation with the individual(s)
involved. Many issues can be resolved through open, sincere dialogue and mutual
understanding. Approach the conversation with the intention of finding clarity and
resolution.
2. Escalate to Program Director
If direct communication is not possible, feels unsafe, or does not resolve the issue, notify
the program director in writing. Your written submission should include:
◦ A clear description of the issue.
◦ Any relevant details, such as dates, individuals involved, and specific incidents.
◦ Your desired outcome or resolution.
Submissions can be sent via email or delivered in person to the program director.
3. Confidential Meeting
Within seven business days of receiving your grievance, the program director will
schedule a confidential, nonjudgmental meeting to discuss the issue. This meeting may
include:
◦ The individual(s) raising the concern.
◦ The program director or designated leadership team member.
◦ Other relevant parties, if appropriate and agreed upon.
4. The goal of this meeting is to explore the issue thoroughly, understand all perspectives,
and identify a path toward resolution.
5. Resolution Process
Following the meeting, the program director will document the discussion and propose a
resolution plan. This may include:◦ Facilitated mediation between parties.
◦ Adjustments to program dynamics to prevent further issues.
◦ Additional support or resources for those involved.
◦ Disciplinary measures, if necessary, in cases of misconduct.
6. Documentation of the grievance and resolution process will be securely maintained for
transparency and accountability.
7. External Mediation (If Needed)
If the issue remains unresolved or requires further intervention, Lynden Yoga Collective
may arrange for external mediation by a neutral third party. This step ensures impartiality
and supports the wellbeing of all involved.

Our grievance process is designed to protect the wellbeing of all students, staff, and faculty. We

Refund Policy
At Lynden Yoga Collective, we are committed to providing a transformative and enriching
experience through our yoga teacher training programs. To ensure clarity and fairness, we have
outlined our refund policy below. This policy applies to all participants enrolling in our yoga
teacher training programs. We encourage you to review it carefully to understand your financial
commitments and our procedures.
Deposit and Tuition Payments
• Non-Refundable Deposit: A deposit of $500 is required to secure your spot in the yoga
teacher training program. This deposit is non-refundable under all circumstances, as it
reserves your place and covers administrative costs associated with your enrollment.
• Full Tuition Payment: The remaining tuition balance is due in full by the start date of
the program, unless a written payment plan has been agreed upon with Lynden Yoga
Collective. Payment plans must be documented and approved in advance by the program
administration.
Withdrawal and Refund Process
• Withdrawal 30+ Days Before Program Start: If you choose to withdraw from the
program at least 30 days before the start date, you will receive a full refund of all tuition
paid, excluding the $500 non-refundable deposit. Refunds will be processed within 14
business days of receiving your written withdrawal request.
• Withdrawal Less Than 30 Days Before Program Start: If you withdraw less than 30
days before the program start date, no refunds will be issued for any tuition paid,
including the deposit. This policy reflects the commitment of resources and planning
required as the program approaches.
• After Program Start: Once the training program has begun, no refunds will be granted
for any reason, including but not limited to non-attendance, partial participation, or
failure to complete the program.
Deferral for Emergencies or Significant Life Events
• In the case of a documented emergency or significant life event (e.g., serious illness,
family emergency, or other extenuating circumstances), you may submit a written request
to defer your participation to a future training session.• Deferral requests must include supporting documentation and will be reviewed on a case-
by-case basis. Approval is at the sole discretion of the program director.
• If approved, a deferral may incur a transfer fee and/or tuition adjustment based on the
pricing of the future training session. Details of any fees or adjustments will be
communicated in writing upon approval.
• Deferrals are not guaranteed and are subject to availability in future programs.
No Refunds for Dissatisfaction
• Lynden Yoga Collective does not offer refunds for dissatisfaction with the program’s
content, structure, teaching style, or delivery. We strongly encourage all prospective
students to thoroughly review the program overview, curriculum, and values on our
website or contact our team with any questions prior to enrolling to ensure our training
aligns with your expectations and goals.
How to Submit a Refund or Deferral Request
• All refund or deferral requests must be submitted in writing via email to [insert contact

• Please include your full name, the program you are enrolled in, and a detailed explanation
of your request. For deferral requests, include relevant documentation supporting your
case.
• We aim to respond to all requests within 7 business days.

Attendance Policy
The Lynden Yoga Collective is committed to maintaining the highest standards for our Yoga
Alliance registered training program. To ensure compliance with Yoga Alliance requirements and
to foster a respectful and dedicated learning environment, all trainees are expected to adhere to
the following attendance policy.
Attendance Requirements
To successfully complete the program and receive certification, trainees must attend and fully
participate in all scheduled contact hours as outlined in the program curriculum, unless
alternative arrangements have been made with the Program Director.
Permitted Absences
• Trainees may miss up to 10 hours of training with prior communication and approval
from the Program Director.
• Any approved absences must be made up through one of the following methods:
◦ Private Instruction: Scheduled at a rate of $50 per hour.
◦ Additional Assignments: Assigned at the discretion of the Program Director to
ensure equivalent learning outcomes.
Consequences of Excessive Absences
• Missing more than 10% of any educational category (e.g., asana practice, teaching
methodology, anatomy, philosophy, etc.) may result in failure to meet Yoga Alliance
standards, rendering the trainee ineligible for graduation.
• Trainees are responsible for tracking their attendance and ensuring compliance with this
policy.
Tardiness and Early Departures
• Arriving late or leaving early without prior approval will be noted.
• More than three instances of tardiness or unapproved early departures may result in a
deduction of contact hours.• Any deducted hours must be made up through private instruction or additional
assignments at the trainee’s expense ($50 per hour).
Leave of Absence
• A leave of absence may be granted for exceptional circumstances, including but not
limited to:
◦ Medical emergencies
◦ Serious illness
◦ Family situations
• Requests for a leave of absence will be reviewed on a case-by-case basis and must be
accompanied by appropriate documentation (e.g., medical note, family emergency
verification).
• The Program Director will work with the trainee to develop a plan to make up missed
hours or coursework, ensuring alignment with Yoga Alliance standards.
Commitment to the Learning Community
Attendance is not only a requirement for certification but also a reflection of personal integrity
and respect for the Lynden Yoga Collective community. Trainees are encouraged to:
• Communicate promptly with the Program Director regarding any potential absences or
scheduling conflicts.
• Approach their training with dedication, punctuality, and a commitment to supporting
their peers and instructors.

Trainee to Teacher Ratio Policy
Overview
At Lynden Yoga Collective, we are committed to providing high-quality yoga instruction that
prioritizes safety, individualized attention, and a nurturing learning environment. To achieve this,
the Trainee to Teacher Ratio (also referred to as the Trainer-to-Trainee Ratio) for all training
sessions and classes must not exceed 6:1 (six trainees or students per one teacher). This policy
ensures that each participant receives adequate guidance, feedback, and support during their yoga
practice or teacher training.
Policy Details
1. Maximum Ratio:
◦ The trainee-to-teacher ratio must be maintained at 6:1 or lower during all yoga
training sessions, workshops, and group classes.
◦ This means no more than six trainees or students may be assigned to a single yoga
instructor at any given time during active instruction.
2. Purpose:
◦ To ensure safe and effective yoga instruction, allowing teachers to monitor
alignment, provide hands-on adjustments (with consent), and offer personalized
feedback.
◦ To foster a supportive environment conducive to learning yoga techniques,
philosophy, or teacher training content.
◦ To maintain a high standard of care and attention for all participants, particularly
in physically demanding or technical yoga practices.
3. Documentation Requirements:
◦ Clear and Accurate Records:
▪ Lynden Yoga Collective must maintain detailed documentation of the
trainee-to-teacher ratio for each session or class.
▪ Documentation should include:
▪ Date and Time of the session.▪ Instructor(s): Full name(s) and relevant certifications (e.g.,
RYT-200, RYT-500).
▪ Participants: Full list of trainees or students attending the session.
▪ Ratio Calculation: Explicitly state the number of trainees/students
per teacher (e.g., "6 students to 1 teacher").
▪ Session Details: Type of session (e.g., teacher training module,
group class, workshop), duration, and location (e.g., studio, park,
or online).
◦ Format:
▪ Records are maintained in a standardized format in attendance logbook.
◦ Retention:
▪ Records must be retained for at least 3 years to support quality assurance,
audits, or accreditation requirements (e.g., Yoga Alliance compliance for
teacher training programs).
◦ Accessibility:
▪ Documentation must be available for review by studio management,
teacher training leads, or external auditors (e.g., Yoga Alliance) upon
